BASIC FUNCTION The person in this position will provide general administration and event services for executives and clients.
Events include annual conferences, educational seminars, webinars, awards luncheons, and social activities.
Administration tasks will include office management, answering phones and other administrative functions as needed.
Our company is growing and there will be opportunities to advance as an event planner.
ESSENTIAL JOB
Responsibilities:
Answer phones with 10-line phone system and check voicemail Order office and event supplies to maintain appropriate stock in office Organize storage of client supplies weekly and after events Ship online store orders weekly Assist attendees in registering for events online and over the phone Attend events to manage setup, registration, and tear down (approximately 15 per year) Arrange and participate on committee conference calls Work with volunteers to develop agendas, timelines, and program requirements Develop and adhere to event timelines, checklists, and process documents Manage event logistics including registration (online and onsite), travel, vendors, sponsors, promotional items, printing, signage, drayage, volunteers, and venue Assist with event mobile app implementation Email campaigns for events Solicit proposals from venues and service providers including audio visual Coordinate event printing including badges, signage, reports, tickets, etc Prepare pre and post event reports Other duties as assigned COMPANY CULTURE Many hats are worn by all - must love multi-tasking Work as a team to exceed client expectations We utilize technology as often as possible & develop streamlined processes Some nights required to perform job duties PROFESSIONAL EXPERIENCE REQUIREMENTS Minimum 2 years of administrative or event experience Strong desire to learn about event management and learn new technologies Ability to work with volunteers and team members with professionalism, courtesy, & diplomacy Meticulous attention to detail Excellent phone, verbal and written communication skills Professional customer service mindset Ability to multi-task and prioritize tasks Previous experience with membership or event databases desired Microsoft office proficiency required College degree preferred KEY PROFESSIONAL ATTRIBUTES Dependable and punctual Outgoing, Positive, Proactive and Enthusiastic Tech savvy Self-starter, able to work independently, problem-solve, and adhere to timelines Strong ability to self-manage with significant strength in time management Detail-oriented, efficient, team-centric and ability to multi-task Adherence to company and client policies Desired career in association or event management BENEFITS Group Concepts offers nine paid holidays and one week's paid vacation the first year.
