Job Description ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

Accurately process and track customer orders to ensuring all orders are entered, shipments are timely and smooth, and invoicing is accurate Enter and follow up on backorders and track customer payments Keep apprised of updates to the shipping matrix and inform others of changes Process customs paperwork and coordinate shipments with freight forwarders in accordance with regulatory requirements Respond promptly to customer inquiries Maintain files and databases, including CRM usage Review CRM ensuring proper usage by international teams Develop and implement standard forms and procedures coordinating with regulatory, quality, accounting, and finance departments Coordinate marketing materials needs Process expense reports and monthly commission payments Arrange and attend weekly conference calls Other administrative duties as required Overtime and international travel as required, travel expectation is 0 - 10% Managing all the RAs, warranty and non-warranty orders for our direct offices in Germany, India, and China, and all International Distributors.
Ensure service part orders are placed and fulfilled.
Develop and implement a system to track all serialized parts shipped internationally (i.
e.
Lasers, Trunk Fibers, HPs, etc.
) enabling effective warranty tracking.
North American RA support:
Work with the Internal Diode team and the FSEs to ensure all parts are coming back through the RA process.
Primary focus will be on ezlase, Diolase 10 lasers, Laser Heads, TFs, HPs.
RA troubleshooter and work with Kathy Valle when part(s) are returned from an unknown origin.
Image Product Line Support Support customer service issues with the new Image Product Line.
Customer Care support Expense reports, Time Log data management, Commissions.
Support customer calls and follow up until resolutions are achieved and documented Attend and coordinate periodic sales and service training, as required SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities.
QUALIFICATIONS EDUCATION and/or EXPERIENCE Associate's degree (A.
A.
) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
Prior international sales or service administrative support experience required.
Recent medical device and CRM and Great Plains experience preferred.
LANGUAGE SKILLS MATHEMATICAL SKILLS Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
