Major duties include, but are not limited to:
Correspondence and Action Item Management Receives actions through the ongoing monitoring of email notices from a variety of mail groups. Interprets the actions needed and translates into simple steps to send to responsible staff in the facility for action. Assigns due dates that consider the need for response consolidation, quality check and leadership approval in preparation for Director approval. Reviews all correspondence and action items to ensure appropriate action is taken. Ensures all correspondence and action items are provided to the appropriate services, programs or individuals for action. Designs and implements follow-up protocols necessary to track completed or outstanding issues and brings issues of concern to the Associate Director. Apprises members of Senior Management of concerns within their areas. Develops guidance on techniques for managing the methods for improvements. Tracks and follows-up all high priority actions due to VACO/Network and other entities as applicable. Distributes complaints regarding care or administrative processes from all entities and stakeholders, including concerns that are referred to/from the Public Affairs Officer. Coordinates complex correspondence that requires input from a variety of sources. Reviews and edits all correspondence as necessary to meet the standards set by the Associate Director. Compiles complex responses from multiple sites into spreadsheet software managing formula and format issues. Office Organization and Communications Coordination of meetings and dissemination of information at the meetings for the Associate Director. Maintaining the Associate Director's calendar and scheduling meetings as needed. Managing the Associate Director's email as needed. Office planning with Director to ensure space and other requirements for meetings is well organized and met. Establishment, distribution and oversight of office operations standards for executive leadership to ensure consistency of practice and quality. Managing the education tracking system for executive leadership providing routine reports on the status of meeting mandatory training requirements. Processing travel arrangements using the FedTraveler system for the Director. Performs other related duties as assigned. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-9 position you must have served 52 weeks at the GS-8. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-8 in the normal line of progression for the occupation in the organization. Typing:
You must also be able to type 40 words per minute. (NOTE:

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
